About the Role

Lister Medical Centre is recruiting for an experienced medical secretary, to join our team on a part-time basis, as maternity leave, with the length of the period of cover to be specified.  This role is for 30 hours per week, in the following shift pattern:

Monday  11am - 5pm
Tuesday  11am - 5pm
Wednesday  11am - 5pm
Thursday  8.30am - 2.30pm
Friday  8.30am - 2.30pm

 

The main duties of the role include:

  • Receiving and dealing with telephone calls and that messages are directed to the correct personnel.  Update information on computer.
  • Responsible for organising, collecting and distributing both internal and external, incoming and outgoing mail, in absence of post clerk.
  • Typing correspondence and forms for the doctors.
  • Complete application forms for wheelchair and other requests.
  • Enter Pathology Links mailbox daily, to action results by using mail merge and telephone.
  • Check and action internal electronic document management (DOCMAN) workflow daily.
  • Responsible for organising termination of pregnancy requests.
  • Responsible for typing referrals and ensuring that they are logged and passed to the appropriate clinician.
  • Ensuring referrals are sent electronically, in a timely manner.
  • Monitor Choose and Book activity daily, ensuring rejections are dealt with accordingly.
  • Perform any other duties deemed reasonable by any Partner or Practice Manager.
  • Respond to any urgent needs of doctors.
  • Respond to, and follow through, all patient queries with relation to their doctor, both on the telephone and at reception. Liaising with necessary staff/manager to ensure satisfactory conclusion.
  • Under the supervision of a doctor deal with prescription requests and queries both from patients and other outside agencies (formal training to be given).
  • Make any necessary appointments for patients and liaise with other hospital staff; i.e. consultants, secretaries.
  • Liaise with outside agencies; i.e. pharmacies, wardens, DSS, etc.

About the Candidate

We would welcome applications from candidates with:

  • A good standard of general education, to GCSE level or equivalent;
  • Experience of a customer facing role, with primary care experience desirable;
  • Experience of implementing administrative procedures;
  • Knowledge of SystmOne, Choose & Book and ICE (previously Path Web);
  • Awareness of data protection and confidentiality issues;
  • Strong interpersonal skills, displaying compassion and empathy;
  • Ability to organise and prioritise workload, to acheive deadlines;
  • Ability to investigate complex patient queries and anomalies when required;
  • Ability to monitor and process accurate patient data;

  • Willingness to embrace innovative thinking and assist in developing new ways of working;

About Us
We are a friendly, supportive, democratic, well-organised and enthusiastic GMS practice, dedicated to providing traditional family-orientated general practice.  We are based at a new, purpose-built, single-site health centre in Harlow. We currently have approximately 20,000 patients, 6 partners, 2 salaried GPs, a large nursing support team and a vast array of administrative staff.  We are a training practice as well as a teaching practice for Cambridge and Barts students. We are also a research practice.

We are consistent high achievement in all QOF and enhanced services areas with an innovative team structure with individual patient lists (around 2,500 per FTE GP). We operate the SystmOne computer system and are active members of our local GP federation and ICB.

Lister Medical Centre has easy access to M11/M25, close to London and Stansted and attractive Essex and Hertfordshire countryside and their excellent schools.
